Billing

PCR-360's Billing function provides the User organization's financial team with the tools and data needed to accurately and consistently Bill Customers for Services and Equipment.

Further, the Billing section empowers Users to develop an accounts hierarchy that dictates which internal groups or individuals pay for Services or Equipment purchased within the organization.

Import File (i.e., Carrier files) for Bill Generation:

Privileged Users can import third party files to load additional details, not available within PCR-360, needed before generating a Bill.

  1. To import a file, go to Admin > Imports/Exports > Import Files > Import Files
  2. Click
  3. Choose your Import File Format by entering the Format name or selecting it from the picker.
  4. Optionally you may choose an Override date for the file you are going to process. This might also need to be done if there's no date contained in the file itself. You can leave the Bill Date Override blank if you wish to use whatever date is contained within the file.
  5. Click
    if you want PCR-360 to test the file for bad records.
  6. Click
    to process the file for billing. Once the file is selected from your PC, it will be uploaded for final processing. 

Note: Calls are often rated for billing in the evening if this is the case with your organization the bill will be ready to generate the following day.

How to Generate a Bill

Go to Admin > Billing > Bill Generation

In the grid, all previous bill runs are listed. To generate a new bill:

  1. Click the 
    Generate Bill
     button 
  2. The Start Date defaults to the first day of the previous month. To change the Start Date, a date may be manually entered. The End Date will default to one month from the Start Date.
  3. There are two types of bills that can be run.
    1. A Test Bill to preview the bill. To run a Test Bill, click the 
      Generate Test Bill
       button.
    2. To run the standard bill, click the 
      Generate Bill
       button.
  4. Click Yes on the Generate Bill Confirmation dialog.

  5. A dialog message displays when bill starts. When complete, an indicator appears in the lower right-hand corner of the browser window, and a message is received in the Messages section of the Home Page.

  6. Once the bill is completed, the billing detail can be looked at in grid form on Admin > Billing > View/Report > Bill Details or go to Admin > Billing > View/Report > View Bill (or View Test Bill) to see a formatted bill. The View Bill pages allow the bill to be seen by Charge Account, Billing Group, or Owner. For each method of viewing, there is an area at the top of the grid to select different pieces of the bill. When the section is chosen, drill down on each section marked with a right arrow (
     ) to see more detail. When done, collapse that section by clicking the down arrow (
     ).
  7. When billing errors are indicated on the bill completed message, find them at Admin > Billing > View/Report > Call Detail Errors (go to Advanced Search and set the Status to Billing Error).
  8. If a bill needs to be re-run, select the Bill Date Range entry in the grid and then click the 
    Regenerate Selected
     button and click the 
    Regenerate Selected
     button on the confirmation dialog. A message is displayed on the home page when the process is completed.
  9. When the bill is ready, click on
    E-Mail to Coordinators
     button to e-mail each Coordinator their bill.


What does it mean to "rerun a bill"?

PCR-360 offers the ability to rerun a Bill should changes need to be made after producing, or even approval of, the initial Bill. When can a bill be rerun?

Users can only rerun the most recent Bill that is NOT a Test Bill. Any Test Bill can be rerun at any time.

How to rerun the bill?

To rerun a bill:

  • Select the Bill Date Range entry in the Bill Generation Grid.
  • Click Regenerate button located directly above the Grid

  • You will receive a system generated email once the process completes.
